President
- Club's chief executive officer
- Preside at club and executive committee meetings
- Guide the club in meeting the members' educational and leadership growth needs
- Together with the executive committee, establish plans for club growth
- Attend and vote at Area Council, District business meetings, Regional business meetings, and International business meetings (or send proxies to the District Governor for the last two)
VP-Education
- Plan successful club meetings
- Assure that all members are scheduled appropriately to meet their educational goals
- Plan the presentation of special programs, such as Communication and Leadership, Speechcraft, and other programs
- Schedule speeches
- Sign Communication and Leadership manuals
- Update member progress charts
- Report educational program completions to World Headquarters
- Coordinate recognition of member achievement
- Preside at club and executive committee meetings when the President is absent
- Orient each new member to the Toastmasters educational program
- Assign a mentor to each new member
- Induction of new members
- Attend and vote at Area Council and District business meetings
VP-Membership
- Plan, organize, and implement efforts to ensure club meets or exceeds a membership level of 20 members
- Works with outside groups to promote Toastmasters club membership and member retention
- With the Secretary and Treasurer, promptly submit to World Headquarters the club's semiannual report and membership dues payment
- Recognize club members who contribute to club growth
- Keep accurate membership roster and attendance records
- Chair of club membership committee
VP-Public Relations
- Develop, implement and administer methods to maintain a positive image of the Toastmasters club for all members, guests, and the public
- Internal and external promotion of club activities and events
- Develop informational documents about the club
- Represent the club with the media
- Together with the club bulletin editor and Sergeant At Arms, maintains an effective program of communication for the club
Secretary
- Responsible for club records and correspondence
- Take care of club constitution, bylaws, and all other official club documents
- Submit updated membership and officer records to World Headquarters
- Prepares and mails orders for Toastmasters supplies
- Records and reads minutes of club meetings and Executive Committee meetings
- Together with the Vice-President Membership, submits all new, transfer, and reinstated membership applications to World Headquarters
- Submit names of newly elected officers to World Headquarters within to days of election
Treasurer
- Develop and execute financial policies, procedures, audits, and controls
- Receive and disburse funds in payment of all bills
- Develop and recommend budget to the Executive Committee
- Notify members when dues are to be paid and collects the dues
- With the Vice-President Membership and Secretary, prepares and sends in the semiannual membership reports, dues, and membership roster on or before the due date
Sergeant-at-Arms
- Serve as master host
- Make proper physical arrangements for all club meetings
- With the Vice-President Public Relations and Vice President Membership, ensures that each member and guest is welcomed at club meetings
- Responsible for the orderly conduct of all meetings, including all necessary arrangements in preparation for the meeting
- Controls club equipment between meetings
Immediate Past President
- Provide guidance to club officers
- Serve as a resource for club officers
- Chair the Nominating Committee
- Assist in preparing the Club Success Plan
- Promote club efforts to achieve club goals
